Finance Operations Hub: Sage Journals, Receivables and Cheques in One View

Why Standard Cloud Stacks and Legacy Tools Failed
The distributor’s accounting lives in Sage, but the questions management asks every week (who owes what, which cheques are still in the bank, how each client and product is selling) required exports, spreadsheets and manual reconciliation. Cheques in particular moved through several hands between receipt and clearing with no single record of where each one stood.
Custom Low-Latency Architecture & In-Country Execution
Vext built an import that brings the Sage sales and purchase journals and recorded payments into the operations platform, line by line. On top of that data sit a receivables ledger showing what is open per client, and a cheque register that follows each cheque through received, deposited and cleared.
Key Engineering Deliverables
- Line-level import of Sage sales and purchase journals and payments
- Receivables ledger with open balances per client
- Cheque register following each cheque from receipt to deposit to clearing
- Sales views by client and SKU from January 2024 onward
Measured Production Impact
- 1,783 open receivables visible at any moment, per client
- 1,129 cheques cleared and 814 deposited and awaiting clearing, each with its current status
- 51,178 sales lines and 17,655 purchase lines available for analysis without spreadsheet exports
Architectural Context & Deployment Narrative
The distributor keeps its books in Sage, and that does not change. What Vext added is a layer that reads those books. The sales journal (15,348 invoices and 51,178 lines covering 375 active clients and 3,093 SKUs from January 2024 to October 2026), the purchase journal (17,655 lines) and 5,644 recorded payments are imported into the operations platform. From there, 5,717 receivables are tracked, 1,783 of them currently open, and 1,943 cheques are followed from receipt to clearing: 1,129 cleared and 814 deposited and pending.
